Holland & JohnstonStaff portal

End-user licence agreement

Effective 27 September 2026

1. Operator and scope

This agreement governs authorised use of the Holland & Johnston Portal at jobs.holland-johnston.co.uk. It is operated by Holland & Johnston Ltd, Unit 17 Squires Farm Industrial Estate, Palehouse Common, Uckfield, East Sussex, TN22 5RB. Contact info@holland-johnston.co.uk.

This agreement covers portal access. It does not replace employment agreements, contracts for electrical or installation services, or third-party service terms.

2. Permission to use the portal

We grant authorised staff, approved contractors and invited customers a limited, non-exclusive, non-transferable licence to use the portal for assigned business work or to manage their own customer services. Access depends on the user’s assigned role and may end when authorisation ends. No ownership of the portal software or third-party materials is transferred.

3. Accounts and acceptable use

Use your own account, protect your sign-in details and report suspected misuse promptly. Access only information you are authorised to use. Do not disclose customer or staff information outside approved business purposes, bypass security controls, introduce malicious content or interfere with the service. Upload only material you are authorised to provide and check that work records are accurate.

4. Records and external services

We may store, display and process submitted material to run the portal and carry out the associated business work, as described in our privacy policy. Existing ownership of uploaded documents and other material is preserved. Check forms, reports, calculations and financial records before relying on or issuing them.

QuickBooks integration requires a Super Admin to authorise a company connection. Authorised administrators can read records and explicitly save supported changes to that company. Check the customer, items, dates and VAT codes before saving; creating an invoice creates a real QuickBooks record, not a local draft. QuickBooks and other external services have their own terms. This portal is operated independently of Intuit; this agreement does not provide a QuickBooks subscription or imply Intuit endorsement.

Customer accounts and service plans

Customer access is invitation-only and linked to the customer record selected by our administrator. Customer contacts can view that customer’s job summaries, explicitly shared documents, reminders and linked QuickBooks estimates and invoices. Tell us promptly if an account is linked incorrectly or a contact should no longer have access. Service reminders are due dates, not confirmed appointments; contact the office to arrange a visit.

Where online plans are available, the plan description, recurring price, billing frequency and plan-specific terms are shown before you continue to Stripe hosted checkout. Review the final amount and any tax at checkout before authorising recurring charges. Card information is entered directly with Stripe. Use Manage billing to open Stripe’s customer portal for the configured payment and cancellation options, or contact the office for help. Ending portal access does not itself cancel a subscription. Nothing here limits your statutory rights.

5. Availability and ending access

We may maintain, update or temporarily suspend the portal and restrict accounts where authorisation ends or misuse is suspected. Availability and error-free operation are not guaranteed. Report errors using the contact above. Ending access does not automatically delete records the business still needs to retain.

Continue to follow applicable professional, safety and record-keeping requirements when the portal is unavailable. The portal supports administration and does not replace professional judgement or required checks.

6. Responsibility and updates

Nothing in this agreement excludes liability that cannot lawfully be excluded or removes statutory rights. We will communicate material changes to authorised users and display an updated effective date.
